The Royal Australian Navy and Capability Acquisition and Sustainment Group (CASG), as part of their respective Reform programs, aspired to improve their ‘information sharing environment’ with the intent of reducing the risk of maritime assets not being available when required by Chief of Navy.
Defence’s approach to innovation required that the solution evolve rapidly and facilitate new thinking. We delivered on this by deploying ThoughtWeb’s configurable software platform for building collaborative decision management solutions. The resulting Interdependent Mission Management System (IMMS) is now part of an overall Defence solution to better enable strategic partnering and the joint management of interdependent sustainment risks. It has delivered staff productivity gains, improved maintenance performance and improved the shared understanding of their business.

CASG – Maritime Systems Division

We have helped Maritime System Division’s address their need to effectively coordinate, align and prioritise 40+ continuous improvements projects. Our Transformation Governance Solution provides an on-line workplace that integrates portfolio management, benefits realisation management, risk management and stakeholder management. The solution has provided improved clarity and alignment of effort within and between projects. Interdependencies have been easier to identify and manage – “We now know who needs to talk to whom about what!”. Working within the integrated environment has resulted in an improvement in the shared understanding and a reduction in project reporting related effort.

Department of Conservation

The Department of Conservation (DOC) runs projects to protect, conserve, restore, and manage New Zealand’s conservation land and waters, including recreational opportunities in these areas and the protection of certain species.

Their objective was to move from a folder-based system to one that is folder-less; from a navigable structure, to a more search-focussed environment.
Their aim was to give users as many search tools and entry points to the organisation’s documents and content to ensure efficient use, interaction, and collaboration.

To enable the consistent classification of information, DOC in New Zealand had a specialised vocabulary designed. By using this vocabulary, not only in the new Enterprise Content Management (ECM) system but across a number of internal systems, there is a consistent way of referencing (and therefore retrieving) DOC’s valuable information.

OGA, provided DOC with Smartlogic’s Semaphore – a tool that not only manages DOC’s specialised vocabulary and allows it to be used within various systems, it also auto-classifies content. By integrating Semaphore with the new ECM, content is auto-tagged on upload with a range of keywords that are meaningful to users when searching. This complements the search-focused environment DOC has implemented. The auto-classification can also be leveraged to assist with the information processes required of the public sector, by Archives NZ. In the past, disposal classes were allocated at a folder level however by using Semaphore, DOC are now able to automatically apply classes at an individual item level. DOC have seen a dramatic increase in adoption and access to content. Searchable and accessible content has increased from 7.4% to 80%.
